The movement is a single job, not a chain of calls
A vehicle collection and delivery is simple in theory: pick up from one place, drop at another. In dealer operations it usually fails because the details live in four systems — an auction invoice, a DMS note, a WhatsApp message and a transporter’s diary.
Treat the movement as one job with one owner. Collection location, delivery location, vehicle identity, dates, access notes and evidence of handover all belong on that record. If a coordinator cannot answer “where is it?” from one screen, the process is still informal.
What must be true before anyone leaves for collection
Collection only starts when the person arriving can identify the vehicle and prove they are entitled to take it. Missing access instructions or a wrong postcode wastes a driven or transporter mile before the job has begun.
- Collection address or compound, plus any booking-in or release process
- Delivery address, including customer homes vs dealer sites
- Vehicle registration or VIN, plus keys / V5 location if relevant
- Requested collect and deliver dates, and any time windows
- Driven vs transported preference, or no preference
- Damage, fuel, charging, or non-runner notes
Collection, transit, delivery
At collection, a proof of collection (POC) should capture the vehicle condition before it moves. Photographs of existing damage protect the dealer and the transporter. Without that, a later scratch becomes an unresolvable dispute.
In transit, status should change on the same job — collected, in transit, delivered — so the dealer can tell a customer something factual. At delivery, proof of delivery (POD) closes the chain of custody: who received the vehicle, where, and in what condition.
