Identity first
The collector has to know they have the right vehicle. Registration number is the usual key. VIN is the backup when plates are missing, trade plates are in use, or two similar cars sit on the same compound.
Keys, charging cables, locking wheel nuts and documents should be described, not assumed. “Keys in the cabin” is only useful if that is actually true on the day.
Place, access, authority
A postcode is not a process. Auction compounds, manufacturer parks and residential collections each have a different gate.
- Full collection address and what three words / entrance if the site is large
- Who releases the vehicle and what ID the driver must show
- Booking-in reference or time slot
- Parking, height, or transporter access limits
- Residential constraints: permits, quiet hours, no-transporter streets
Condition and constraints
Note non-runners, no fuel, ADAS issues, wet belts, or cars that must not be driven. Driven movements and transporter movements fail for different reasons; say which you need, or that you do not mind.
On VMove those notes sit on the job with the vehicle list. Proof of collection photographs then record condition at the moment of collection, which is the only condition that matters for the journey.

Common questions
What if I do not have the VRM yet?
Wait until you can identify the vehicle, or say clearly that identity is still pending. Quoting against an unknown car creates collections that cannot be released.
Do I need photographs before collection?
You need photographs at collection (POC). Pre-move dealer photos help, but they are not a substitute for condition at pickup.
